Privacy Policy
What we collect, why we collect it, and what you can ask us to do about it.
In short
- We collect your details only when you choose to send them to us through our contact form.
- Our web server keeps standard access logs, which include IP addresses, for security.
- If you agree, we use Google Analytics to see how the site is used. We use no advertising cookies and no cross-site tracking.
- We never sell your information, and we do not share it for marketing.
- You can ask us what we hold about you, or to correct or delete it, at any time.

What this policy covers
This policy explains what personal information we collect through this website, why we collect it, what we do with it and what rights you have over it. It applies to this website only. If you are an existing customer, the handling of information under your service contract is covered separately by that agreement.
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What information we collect
Information you give us
Our contact form asks for:
- your name;
- your email address;
- your organisation (optional); and
- your message.
We use these details to reply to your enquiry and, where relevant, to provide information about our services. Please do not include sensitive personal information in a website enquiry.
If you email or telephone us directly, we will hold whatever you choose to tell us for as long as we need it to deal with your enquiry.
Information collected automatically
Like almost all websites, our web server records standard technical information each time a page is requested. This includes your IP address, the date and time, the page requested, and basic details of your browser and operating system. These logs are generated by our hosting provider and are used to keep the site secure and available — for example to identify and block malicious traffic. They are not used to build a profile of you and are not combined with any other information.
Website analytics (only with your consent)
If you click Accept on our cookie notice, we use Google Analytics to understand how visitors use this site, so we can improve it. It records information such as the pages you visit, how long you spend on them, the website or search that brought you here, your approximate location (to town or city level), and the type of device and browser you use. It uses cookies to recognise a returning browser, but it does not tell us who you are, and Google Analytics does not log or store IP addresses. We have switched off Google’s advertising features for this site, so this information is not used for advertising. If you do not click Accept, Google Analytics does not run.
Cookies and local storage
The only cookies this website sets are the Google Analytics cookies described above, and only if you agree. Your choice is stored in your own browser's local storage and is never sent to us. Our Cookie Policy explains this in full.
Why we use your information, and our lawful basis
| What we do | Why | Lawful basis |
|---|---|---|
| Reply to your enquiry | So we can answer your question or quote for work | Legitimate interests — responding to someone who has contacted us |
| Provide our services | To deliver work you have asked us to do | Performance of a contract |
| Keep the website secure | To prevent and investigate malicious activity | Legitimate interests — protecting our systems and visitors |
| Understand how the site is used | To see which pages are useful and improve the site, using Google Analytics | Consent, which you can withdraw at any time using Cookie Settings |
| Send marketing emails | Only if you have asked us to | Consent, which you can withdraw at any time |
| Meet legal and accounting duties | Where the law requires us to keep records | Legal obligation |
We do not use automated decision-making or profiling.
Who we share it with
We do not sell, rent or trade your personal information, and we do not share it with third parties for their own marketing.
We do use a small number of suppliers who process information on our behalf, under contract and on our instructions:
- Our web host, which operates the servers this site runs on and generates the access logs described above.
- Microsoft 365, which we use for our business email — so enquiries you send us are received and stored there.
- Google, which provides Google Analytics, if you have agreed to analytics cookies.
We may also disclose information where we are required to do so by law, or where it is necessary to establish, exercise or defend legal claims.
Services you may choose to use
Some links on this site take you to services operated by other companies — for example Calendly, if you book a call with us, and Trustpilot, if you leave a review. These only load if you click through to them. Once you do, you are on their website and their own privacy policy and cookies apply, not ours.
Where your information is kept
Your information is stored on systems located in the UK or the European Economic Area, with one exception: if you agree to analytics, Google may process Google Analytics data elsewhere, including in the United States. Where any supplier transfers data outside the UK, we rely on the safeguards permitted by UK data protection law, such as adequacy regulations or standard contractual clauses.
How long we keep it
We keep enquiry correspondence for as long as needed to deal with the enquiry and for a reasonable period afterwards, in case you get back in touch. If the enquiry does not lead to any work, we delete it in line with our retention practices. Where you become a customer, we keep records for the duration of the contract and for as long afterwards as we are required to for legal, accounting and regulatory reasons. Server access logs are kept for a short period and then overwritten. Google Analytics deletes the detailed information linked to its cookies after no more than 14 months; after that, only summary statistics that cannot identify anyone remain.
Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your information — which is what this policy is for.
- Request a copy of the personal information we hold about you (a subject access request).
- Have inaccurate information corrected.
- Ask us to delete your information where there is no good reason for us to keep it.
- Ask us to restrict how we use your information while a concern is resolved.
- Object to us processing your information on the basis of legitimate interests.
- Ask for your information in a portable format, where it was provided by you and is processed by automated means.
- Withdraw consent at any time, where we relied on consent. For analytics, use the Cookie Settings button on any page.
To exercise any of these, email info@simply-it.co.uk. We will respond within one month. There is normally no charge.
Links to other websites
This site links to other websites, including those of our partners and suppliers. We have no control over those sites and are not responsible for their content or their handling of your information. Once you leave this website, this policy no longer applies, so please read the privacy policy of any site you visit.
Social media
We link to our social media pages. We do not embed social media content or sharing buttons on this site, so those platforms do not receive information about your visit here unless you click through to them. If you interact with us on a social platform, that platform's own privacy policy governs the information it collects.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed. Where changes are significant we will make that clear on the site.
Questions and complaints
If you have any question about how we handle your information, or you want to raise a concern, please contact us first at info@simply-it.co.uk — we would rather hear about it and put it right.
You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator:

- Helpline: 0303 123 1113
Governing law
This policy is governed by the laws of England and Wales, and any dispute arising in connection with it is subject to the exclusive jurisdiction of the English courts.
