Why Every School Should Have a School IT Support Review

For many schools, a school IT support review is a bit like servicing the boiler.

As long as everything seems to be working, it’s easy to leave it alone and carry on with day-to-day life.

Lessons are running.
Emails are working.
Staff can log in.
The WiFi mostly behaves itself.

So reviewing IT support often drops down the priority list.

And honestly? That’s understandable.

School leaders already have enough to think about.

But here’s the thing: a proper school IT support review shouldn’t only happen when something goes wrong.

In fact, the best time to review your IT provision is usually when things feel “fine.”

Why Schools Rarely Review IT Support

Most schools stay with the same provider for years.

Sometimes because the relationship is good.
Sometimes because change feels risky.
Sometimes simply because there hasn’t been time to look elsewhere.

And that’s completely normal.

But technology changes quickly – and so do school requirements.

What worked well 5 years ago may no longer be the best fit today.

That doesn’t necessarily mean your current provider is doing a bad job.

It simply means it’s healthy to sense-check things every now and then.

What Should Schools Include in a School IT Support Review?

An IT review isn’t just about asking:
“Are tickets getting answered?”

A good review should look at the bigger picture, including:

Response Times & Support

  • Are issues being resolved quickly enough?
  • Do staff know how to get help easily?
  • Is support proactive or mostly reactive?

Safeguarding & Security

  • Are filtering and monitoring systems still suitable?
  • Are backup processes documented and tested?
  • Are accounts and permissions properly managed?
  • Are there any risks that have slowly built up over time?

Infrastructure & Reliability

  • Is the WiFi still fit for modern classroom demands?
  • Are switches, servers, or devices nearing end-of-life?
  • Is performance slowing down across the school?

Future Planning

  • Is there a realistic refresh plan?
  • Are budgets being planned ahead properly?
  • Is the school being advised strategically – or only when something breaks?

Signs It Might Be Time for a Review

Sometimes the signs are obvious.

Sometimes they creep in slowly over time.

Schools often start considering a review when:

  • Staff regularly complain about WiFi
  • Devices are becoming unreliable
  • Support feels reactive rather than proactive
  • Nobody is fully sure what the long-term IT plan is
  • Safeguarding responsibilities have increased
  • Costs keep rising without much visibility
  • The school has grown or changed significantly
  • The trust or leadership team wants better reporting or visibility

But equally, some schools review things simply because:
“We haven’t looked at this properly in years.”

And that alone is a perfectly valid reason.

Reviewing Doesn’t Mean You’re Leaving

This is probably the biggest misconception.

A review doesn’t automatically mean changing providers.

Sometimes schools review their setup and decide:
“Actually, we’re in a good place.”

That’s still valuable.

A second opinion can help validate decisions, identify gaps, or simply provide reassurance that the school is moving in the right direction.

And occasionally, it highlights opportunities to:

  • improve support
  • strengthen safeguarding visibility
  • reduce future costs
  • simplify systems
  • plan infrastructure more effectively

When Is the Best Time to Review?

For schools with notice periods tied to contracts, spring and early summer are often the key times conversations begin for September changes.

But realistically, any time is a good time for a school IT support review if:

  • budgets are being planned
  • infrastructure projects are coming up
  • safeguarding responsibilities are increasing
  • leadership teams want clearer visibility
  • the school simply wants peace of mind

Good IT support should feel reliable, clear, and easy.

Not confusing.
Not stressful.
Not something schools only think about when there’s a problem.

Sometimes, a simple school IT support review is all it takes to spot opportunities, strengthen planning, and make sure your school’s IT still fits where you are today – and where you’re heading next.
