04 Dec The Real Reason Your Team Can’t Log In

If your team keeps shouting “I can’t log in!” – you’re not alone.

For most small businesses, login issues are the number one cause of lost productivity.
It sounds small… until it happens every single day.

Staff can’t log in or get locked out of accounts.
MFA doesn’t work.
Passwords expire without warning.
Someone forgets where they saved their recovery code (usually everywhere but the right place).

1. Expired or Weak Passwords

Many systems automatically expire passwords every 30, 60 or 90 days.

  • enable password expiry notifications

  • simplify password rules

  • use a company password manager

  • set clear guidance for staff

Small tweaks stop daily lockouts.

2. Multi-Factor Authentication (MFA) Fails

MFA is essential for security, but it’s also one of the biggest login pain points.

Common issues include:

  • new phones without MFA apps restored

  • codes sent to old numbers

  • authenticator apps out of sync

  • users accidentally deleting the login method

How to fix it:

  • implement a backup MFA method

  • allow admins to reset MFA cleanly

  • document setup steps for new devices

  • use a central management tool

3. Licencing Problems

If a Microsoft 365 or Google Workspace licence doesn’t renew correctly, accounts can suddenly stop working.

How to fix it:

Sometimes the account isn’t the problem – the device is.

Examples include:

  • cached passwords

  • old cookies

  • outdated browsers

  • corrupted profiles

  • conflicting extensions

How to fix it:

A quick remote session usually clears this instantly.

5. Incorrect Access Permissions

When staff change roles or projects, permissions often don’t keep up.
If access doesn’t match what the system expects, it can trigger a lockout.

How to fix it:

  • keep permissions clean and up to date

  • remove old accounts

  • review shared access quarterly

This protects both security and staff sanity.

6. Account Lockouts Waste Time – But They’re Easy to Stop

A few smart systems in the background can prevent:

  • login delays

  • frustrated staff

  • security risks

  • endless password reset requests
